What is the difference between an EHR and practice management software?

The short answer

An EHR (electronic health record) is the clinical side of a practice: the patient's chart, with evaluations, daily notes and plans of care. Practice management software is the business side: scheduling, insurance eligibility checks, claims, patient balances and reports. A PT clinic needs both jobs done, so the shopping decision is whether they run as one system or as two products joined by an interface. Orion is one system: the front desk, the chart and the claim share one patient record, with scheduling in both plans and real-time eligibility in Pro Plus.

The federal definitions settle the clinical half. ONC, the federal health IT office, describes an EMR as “a digital version of the paper charts in the clinician’s office”. An EHR, in the same post, is that record “built to share information with other health care providers”. Those definitions cover the chart. The schedule and the claim belong to what the American Medical Association calls a practice management system: software that “automates and streamlines a practice’s administrative and billing functions”. In the AMA’s list that means capturing demographics, scheduling appointments, running insurance eligibility and benefit checks, working out what the patient owes at the visit, billing, and reporting.

Where do the two sides meet in a PT clinic?

On every visit. The front desk books a plan-of-care series and checks coverage. The therapist writes the daily note. The biller turns that note into a claim, and weeks later the payer’s remit has to land on the right ledger. When the chart and the billing system are two products, each of those handoffs crosses an interface between two vendors. Every interface is a place for a demographic, a charge or an eligibility result to fall out. ONC’s page on practice efficiencies puts the payoff plainly. EHR-enabled medical practices report “integrated scheduling systems that link appointments directly to progress notes, automate coding, and managed claims”.

How does Orion handle it?

Orion is a PT-first EHR with practice management built into the same record, so there is no seam to maintain. Scheduling, the patient portal, charge capture and financial reporting are in both plans at $189–$249 per provider, per month. Pro Plus adds electronic claim submission, ERA auto-posting and the clearinghouse, with no per-claim fees. Staff who do not bill, including the front desk, get logins at no charge, so the practice management side never costs a seat. One record, from the first booking to the paid claim.
